ShiftNinja is a workforce scheduling, time tracking, and compliance platform used by businesses (“Employers”) and their employees, staff, or contractors (“Employees”).

Because Employers control how ShiftNinja is used within their organization, privacy responsibilities differ depending on whether you are an Employer or an Employee.

Section A – Privacy for Employers

1. Information We Collect from Employers

• Business name, contact details, and billing information
• Administrator and manager account details
• Subscription, payment, and plan information
• Settings, preferences, and configuration data
• Support communications and account activity logs

2. How Employer Information Is Used

Employer information is used to:

• Provide and operate the ShiftNinja Services
• Manage billing, subscriptions, and account access
• Enable workforce scheduling, compliance, and reporting features
• Provide customer support and account assistance
• Detect fraud, misuse, or security threats

3. Administrative Access & Monitoring

Authorized ShiftNinja personnel may access Employer accounts, including schedules, settings, reports, user activity, and communications, solely for purposes of:

• Technical support and troubleshooting
• Security and abuse prevention

This access is limited, logged where appropriate, and performed in accordance with internal security controls.

4. Information Collected About Employees

When Employees use ShiftNinja, the following information may be collected and processed:

• Name, email address, role, and workplace location
• Work schedules, availability, and time-off requests
• Clock-in and clock-out times
• Geolocation data for geofenced time clocks (if enabled by Employer)
• Messages and in-app communications
• Training and certification records (including LIQUORexam integrations, where applicable)
• Device and usage data (IP address, browser type, app activity)

5. Employer Control of Employee Data

Employee data within ShiftNinja is controlled by the Employer.

Employers may view, export, modify, or delete Employee data in accordance with their internal policies and applicable employment laws.

Employees seeking access to, correction of, or deletion of their data should contact their Employer directly.

6. Monitoring & Enforcement

ShiftNinja may review messages, schedules, and activity logs where reasonably necessary to:

• Investigate abuse, harassment, or illegal activity
• Respond to support requests
• Protect platform integrity and user safety
• Comply with legal obligations

ShiftNinja does not monitor communications for employment performance or disciplinary purposes.
